Corporate Card Usage Policy

Rules for using company credit cards.

Who This Applies To

Anyone with a company-issued credit card (corporate card or personal-name corporate card).

Why This Policy Exists

Corporate cards are company money, not personal money. This policy ensures:

  • Expenses are legitimate business expenses
  • Proper documentation for accounting and taxes
  • Fair and consistent spending across the company

Monthly Spending Limits

Your monthly spending limit depends on your role and is set by the CEO, Finance Lead, and Operations Lead based on your job requirements.

If you need to exceed your limit: Get approval from CEO and Finance Lead BEFORE making the purchase.

If you need to use your budget for a different category: Get approval from CEO and Finance Lead BEFORE spending.


What You Can Use It For

Corporate cards are for legitimate business expenses in these categories:

1. Business Meals & Entertainment (접대비)

  • Client meetings
  • Partner dinners
  • Business development meals

2. Employee Welfare (복리후생비)

  • Team meals
  • Team building activities
  • Employee benefits

3. Small Supplies (소액 소모품비)

  • Office supplies under a certain amount
  • Small equipment or tools

4. Other Categories

  • Travel expenses
  • Software subscriptions
  • Professional services
  • Materials and supplies

General rule: If the expense requires a tax invoice (세금계산서), get a tax invoice instead of using the card - EXCEPT for the three categories above (meals, welfare, small supplies).

Not listed here? Get CEO approval BEFORE spending.


Prohibited Uses

You CANNOT use the corporate card for:

Automatic Restrictions

  1. Weekend or holiday purchases - Unless it's clearly work-related. If you must, write a detailed explanation of the business purpose.
  2. Multiple split transactions at one vendor - Don't split a large purchase into smaller ones to avoid limits.
  3. Easily cashable items - Things that can be easily converted to cash (gift cards, etc.).
  4. Luxury items - Purchases that are clearly extravagant or personal.
  5. Unrelated businesses - Places that have no reasonable connection to work.
  6. Advance payments to vendors - Unless this is normal practice for that vendor.
  7. Expenses for other departments - Use your own department's budget.
  8. Anti-Corruption Law violations - No gifts/meals over 30,000 KRW for public officials, journalists, or media.

Exception Process

If you have a legitimate reason to make a restricted purchase, get CEO approval FIRST.


Receipt Requirements

What You Must Submit

1. Digital submission (via Gowid app/website):

  • Purpose of expense
  • Attendees (who was there)
  • Attachments (receipt photo)
  • Notes/memo with clear explanation

2. Physical receipt:

  • Submit original paper receipt to Finance Team by end of month
  • Receipt must show vendor's business registration number

How to Submit Digitally

Option A: Gowid Mobile App

  1. Open Gowid app
  2. Tap settings (≡) → "미제출 내역" (Unsubmitted)
  3. Select the transaction
  4. Fill in all required fields
  5. Submit

Option B: Gowid Website (gowid.com)

  1. Log in at gowid.com
  2. Click "카드관리" (Card Management)
  3. Click "이용내역 관리" (Transaction Management)
  4. Select the transaction
  5. Fill in all required fields
  6. Submit

Incomplete Submissions

If Finance Team cannot verify your expense (missing info, unclear purpose, no receipt):

  1. They will reject it and request more information
  2. If you cannot provide adequate documentation, it counts as one violation

Violations and Consequences

First violation: Warning and coaching on proper procedures

Multiple violations: May result in:

  • Card limit reduction
  • Card suspension
  • Disciplinary action

Fraudulent use: Serious violations (intentional misuse) may result in termination and legal action.


Special Cases

Public Officials & Media

Anti-Corruption Law Limit: Maximum 30,000 KRW for meals/gifts to:

  • Government officials
  • Public institution employees
  • Journalists and media personnel

This is a legal requirement, not just company policy.

Large Purchases

For purchases above your normal limit:

  1. Get approval from CEO BEFORE purchasing
  2. Document the approval in your expense report
  3. Provide extra detail on business justification

Shared Expenses

If multiple people split a business expense:

  • One person pays with their card
  • Include all attendees in the expense report
  • Note the business purpose clearly

FAQ

Q: Can I use my corporate card for personal expenses and reimburse later? A: No. Corporate cards are for business expenses only.

Q: What if I accidentally used my corporate card for something personal? A: Report it immediately to Finance Team. Mistakes happen - we'll help you fix it.

Q: What if I need to make an urgent purchase on a weekend? A: You can, but document the business reason thoroughly in your expense report.

Q: What if my vendor doesn't provide receipts with business registration numbers? A: This is a tax requirement. Find a different vendor if possible, or get CEO approval first.

Q: Can I get a higher spending limit? A: Talk to your manager. Limits are reviewed based on actual job requirements.
